Terms of Service

These Terms of Service ("Terms") govern your use of the SoWelcome platform ("Service"), operated by SoWelcome AB, org. nr 559XXX-XXXX, with its registered address at Epicenter, Malmskillnadsgatan 44a, 111 57 Stockholm, Sweden ("we", "us", or "SoWelcome").

By accessing or using our Service, you agree to be bound by these Terms. If you do not agree, you may not use the Service. The Service provides tools for event creation, venue booking, performer connections, guest management, and payment processing.

You agree to use the Service only for lawful purposes and in accordance with these Terms. Specifically, you agree not to:

• Use the Service in any way that violates applicable laws or regulations
• Create events with false, misleading, or fraudulent information
• Impersonate any person or entity, or falsely state or misrepresent your affiliation
• Attempt to gain unauthorized access to, interfere with, or disrupt the Service
• Use the Service to distribute unsolicited promotional or commercial content
• Collect or store personal data about other users without their express consent

We reserve the right to suspend or terminate access for any user who violates these Terms.

To use certain features, you must create an account. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.

You agree to:

• Provide accurate and complete information when creating your account
• Keep your login credentials secure and not share them with others
• Notify us immediately if you suspect unauthorized use of your account
• Not create multiple accounts for the purpose of circumventing restrictions

We may suspend or delete accounts that are inactive for an extended period or that violate these Terms.

SoWelcome facilitates event creation and venue bookings. When you create an event and submit a booking request:

• Your booking request is sent to the venue for approval. A booking is not confirmed until the venue accepts it.
• You are responsible for the accuracy of event details, including guest counts, dates, and requirements.
• Venues set their own pricing, availability, and policies. SoWelcome does not guarantee venue availability.
• Guest RSVPs are collected through the platform. You are responsible for sharing the event link with your guests.

SoWelcome acts as an intermediary between event hosts, venues, and performers. We are not a party to the agreement between you and the venue or performer.

Payment processing is handled through our third-party payment provider. By making a payment, you agree to:

• Deposits: A deposit may be required when submitting a booking. This secures the venue and any selected performers. The deposit is charged upon venue approval.
• Final Settlement: For host-pays events, the remaining balance is invoiced 24-48 hours before the event based on the confirmed guest count.
• Guest Payments: For guest-pays events, each guest pays their share when RSVPing. The ticket price includes food, drinks, and entertainment as configured by the host.
• Refunds: Refund policies are determined by the venue. Cancellations must be made within the venue's cancellation window. SoWelcome service fees may be non-refundable.

All prices are displayed in Swedish Kronor (SEK) unless otherwise stated. You are responsible for any taxes applicable in your jurisdiction.

The Service, including its design, logos, text, graphics, and software, is owned by SoWelcome and protected by intellectual property laws. You may not copy, modify, distribute, or create derivative works without our written permission.

AI-generated content (such as event images and descriptions) created through the Service may be used by you for your events. However, SoWelcome retains the right to use anonymized, aggregated data to improve the Service.

Content you upload (event descriptions, images, etc.) remains yours. By uploading content, you grant SoWelcome a non-exclusive license to display it as part of the Service.

The Service is provided "as is" and "as available" without warranties of any kind, express or implied. To the maximum extent permitted by law:

• SoWelcome is not liable for any indirect, incidental, special, or consequential damages
• We do not guarantee that the Service will be uninterrupted, error-free, or secure
• We are not responsible for disputes between hosts, guests, venues, or performers
• Our total liability shall not exceed the amount you paid to SoWelcome in the 12 months preceding the claim

Nothing in these Terms limits liability that cannot legally be limited, including liability for fraud or personal injury.

You may stop using the Service and close your account at any time. We may suspend or terminate your access if you violate these Terms or if we discontinue the Service.

Upon termination, your right to use the Service ceases immediately. Outstanding payment obligations survive termination.

We may update these Terms from time to time. When we make significant changes, we will notify you through the Service or via email. Your continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
